Privacy Policy

Thank you for visiting the West Virginia Division of Personnel website and reviewing our privacy policy. The management and employees of the Division are keenly aware of our responsibility to respect your privacy, and to honestly tell you how we use any information we gather on our website.

Information Collected.

You can be assured that we will collect no personal information about you when you visit our website unless you voluntarily choose to provide that information. We always explicitly ask when we need any information that would personally identify you.

If you simply visit our website and browse through our site sections, read pages, or download information, we may automatically gather and store certain information about your visit; however, this information does not identify you, nor does it contain any personal information. Examples of information we might collect include:

  • The name of the internet domain, such as “aol.com” or “myschool.edu,” used to access our website.

  • The IP address from which you accessed our website (an IP address is a number that is automatically assigned to your computer whenever you are accessing the Web).

  • The type of browser and operating system you are using. 

  • The date and time of your visit.

  • The pages on our site which you visited.

  • If you linked to the Division of Personnel site from another website, the address of the linking website.  

We gather and use this information simply to measure the number of visitors to the different sections of our site, and to help us make our site more useful to visitors.

REGARDING YOUR SOCIAL SECURITY NUMBER (SSN): As stated above, we do not automatically collect personal information just by visiting our website. If you choose to apply for jobs with us, we require you to provide us with your Social Security Number to verify your identity and confirm the information you provide on your application. You will be required to provide your Social Security Number, pursuant to Section 7 of the Privacy Act of 1974. In addition, we have the authority to solicit your SSN for the purpose of verifying your identity pursuant to West Virginia Code § 29-6-1. Failure to provide your SSN will result in rejection of your application.

Information Used for Security Purposes.

For site security purposes and to ensure that our web services remain available to all users, our site manager employs special software programs to monitor network traffic to identify unauthorized attempts to upload or change information, or otherwise cause damage. Except for authorized security and law enforcement investigations, no other attempts are made to automatically identify individual users or their usage practices.

Information Sharing.

We want to make it very clear: We will NOT obtain personally identifying information about you when you visit our website. We will obtain ONLY information YOU choose to voluntarily provide to us.

Except as required by law, we do not share any information gathered on our website, including email addresses and/or Social Security Numbers, with any private or commercial organization. We only share the information you give us with other State government agencies as it directly relates to our service mission. For example, we provide State agencies with information about the qualifications of applicants for State employment.

Emails and Web Forms.

If you choose to provide us with personal information – as in an email, or by filling out a form with personal information and submitting it to us through our website – we use that information to respond to your message and to help provide the specific information or service requested. We treat email messages the same way we treat regular postal letters. The information is used solely for the direct purpose intended.

Links to Other Sites.

The Division of Personnel website includes links to other governmental agencies, human resources related organizations, and even a few private companies. Such links do not imply an endorsement of any product or service. Furthermore, the Division of Personnel is not responsible for the privacy practices or the content of these websites.

The Division of Personnel recognizes that individual privacy is a fundamental right that must be preserved in our increasingly technological society. Visitors to our website can be confident that we consider the preservation and security of personal information one of our most important objectives.
